There are no physical items associated with VORTEX eSports participation. No merchandise, no trophies, no physical certificates are shipped to participants. All recognition, confirmations, and tournament materials are digital.

If you have received any communication requesting a shipping address or claiming to ship physical goods on behalf of VORTEX eSports, this is fraudulent. Contact us immediately through our official channels.

Section 01

Tournament Entry Delivery

When you register for a VORTEX eSports tournament and pay the entry fee, your registration is confirmed digitally through the following process:

• Confirmation is sent within 30 minutes to 2 hours of payment verification (during business hours)
• Confirmation includes your team slot number, tournament date, and match schedule
• If you do not receive confirmation within 4 hours, contact our support team immediately
• Keep your payment screenshot until the tournament is complete as it serves as proof of registration

Section 02

Match Room ID Distribution

Match Room IDs and passwords are the primary digital deliverable that allows you to join your tournament match inside Free Fire MAX. Here is how they are distributed:

• Room IDs are shared 15–30 minutes before match start time
• The exact time varies per tournament format and admin schedule
• Late sharing (within 10 minutes of match) is flagged as a support incident — contact admin immediately if this occurs

If You Don't Receive Your Room ID

1. Check all VORTEX eSports Discord channels including your team/match category
2. Check your WhatsApp messages from our official number
3. Contact the admin immediately via WhatsApp (+91 6393062931) or Discord DM
4. Do not join random rooms — only join rooms shared through official VORTEX eSports channels
5. Document the time you attempted to contact support in case a match dispute is needed

Communication Process

All VORTEX eSports digital delivery is managed through our official communication channels. Here is how each channel is used:

Discord — Primary Platform

• Announcements channel: Tournament dates, registration openings, results
• Registration channel: Slot booking and confirmation
• Match categories: Private channels per match group for room ID delivery
• Results channel: Match outcome announcements
• Support channel: Admin contact for technical issues
• General channel: Community discussion and updates

WhatsApp — Support & Backup Delivery

• Payment confirmations and registration acknowledgments
• Backup room ID sharing for players with Discord access issues
• One-on-one support for individual player issues
• Prize-related communications and UPI transfer confirmations
• Urgent announcements when Discord is unavailable

Section 04

Prize Digital Transfer

Prize money is distributed digitally via UPI bank transfer. No physical cheques, demand drafts, or gift cards are issued. Here is the prize delivery process:

1. Tournament concludes and final results are verified by administrators
2. Winners announced on Discord and Instagram within 24 hours of tournament end
3. Winners must contact admin within 7 days to claim prizes
4. Winner provides their UPI ID (linked to a valid Indian bank account)
5. Admin verifies winner identity against registration records
6. Prize transfer initiated within 1–2 business days of identity verification
7. Funds credited to winner's bank account within 3–7 business days
8. Transfer confirmation shared with winner via WhatsApp or Discord
